The future of content: M-Files joins forces with Microsoft

The latest episode of Polaris, produced by Synozur, highlighted how M-Files and Microsoft are transforming the content management space.

Hosted by Chris McNulty, the discussion featured M-Files’ Ryan Barry and Microsoft’s Ian Story, who explored how their collaboration is helping organisations rethink the way they manage documents and data.

The content management industry is growing rapidly, with a market worth $73bn and enterprise data projected to hit 175 zettabytes by 2025, most of it unstructured, M-Files stated. Companies are facing mounting challenges in managing emails, documents and files, making scalable and intelligent solutions more vital than ever.

Traditionally, firms had to choose between adopting specialist content management systems or sticking with Microsoft 365. The partnership between M-Files and Microsoft removes that choice. It allows businesses to use M-Files’ metadata-driven architecture within Microsoft 365, combining advanced customisation with seamless collaboration. SharePoint Embedded provides the storage layer, while Office co-authoring, Teams integration and enterprise search come as standard, all under Microsoft’s compliance framework.

A key focus of the collaboration is preparing organisations for an AI-powered future. AI needs structured and reliable data, and M-Files adds semantic clarity to content while Microsoft provides advanced AI tools. Together, they ensure company information is properly organised, accessible, and usable for insights. “A document management system is basically a structured approach to your unstructured data. That’s how you make AI work for you — garbage in, garbage out,” M-Files president Ryan Barry said.

For employees, the integration is designed to be intuitive. Workers continue using familiar apps, while M-Files automates the organisation and compliance processes behind the scenes. Barry explained: “The reality is, the lowest common denominator tends to prevail. Whatever is easiest for users is what happens. This partnership makes the right way the easy way.”

Looking ahead, M-Files and Microsoft plan to develop industry-specific tools and smarter AI integrations that make content management not only more efficient but also a strategic advantage. Microsoft principal group product manager Ian Story underlined the importance of this approach: “Language is the rocket fuel of AI, and language lives in documents. By bringing all your content into one intelligent system, you’re filling your AI’s tank with high-octane fuel.”
