Businesses should look for key features in a DMS to strengthen their compliance posture. Essential functions include role-based access control, which limits who can view or edit files based on specific roles or departments, and encryption, which secures documents during storage and transfer. Audit trails that log every action taken on a file and robust user authentication further help organisations minimise the risk of internal or external breaches.
Access control remains a central pillar in using a DMS for compliance. It ensures only authorised individuals can access or edit sensitive documents, aligning with privacy regulations. For instance, HR teams can be granted exclusive access to employee records, while financial teams retain control over financial statements, M-Files explained.
Audit trails, which capture each action on a document including viewing, sharing, or edits, form another critical compliance feature within a DMS. These logs, which capture the user’s identity and the time of each action, not only demonstrate that compliance procedures are being followed but also support accountability and quality control within an organisation.
DMS platforms can also be aligned with industry-specific regulatory requirements. Many systems offer templates and settings that meet sector-specific compliance needs, such as HIPAA for healthcare providers, FINRA and SEC requirements for financial institutions, ISO standards for manufacturers, and GDPR for European data protection.
Version control within a DMS is also important for managing compliance risks. It allows organisations to keep a record of every change made to a document, including who made the change and when, while maintaining the ability to revert to earlier versions if needed.
